How to Save a YouTube Transcript as PDF or Word

By Editorial Team · · 3 min read

A transcript is much more useful as a proper document: you can highlight it, add comments, print it, or share it with someone who does not want to open YouTube. This guide shows how to turn any YouTube transcript into a neat PDF or Word file, on a computer or on your phone.

Step 1: Get the transcript text

  1. Paste the video link into our YouTube Video Transcript Generator.
  2. Pick a layout. Paragraphs looks best in a document; Lines is better if you want one caption per line.
  3. Decide on timestamps. Keep them for study notes or research, untick them for a clean read.
  4. Press Copy, or choose Download → Text (.txt) to save a file.

Save as a Word document

Microsoft Word

  1. Open a new blank document and paste the text (Ctrl + V, or Cmd + V on Mac).
  2. Add the video title as a heading and the link underneath, so you always know the source.
  3. Choose File → Save As and pick Word Document (.docx).

You can also open the downloaded .txt file directly in Word and save it as .docx.

Google Docs

  1. Create a new document at docs.google.com and paste the text.
  2. To get a Word file, choose File → Download → Microsoft Word (.docx).

Save as a PDF

  • From Word: File → Save As → choose PDF as the file type.
  • From Google Docs: File → Download → PDF Document (.pdf).
  • From any app: open the print dialog (Ctrl + P or Cmd + P) and choose Save as PDF or Microsoft Print to PDF as the printer.

On a phone

  1. Open our transcript generator in your phone’s browser, paste the link and tap Copy.
  2. Paste into the Google Docs or Microsoft Word app.
  3. Use the app’s share or export option to send it as a PDF or Word file.

On iPhone you can also paste into Notes, tap the share button and choose Print, then share the preview as a PDF.

Make the document easy to read

  • Add a header block with the video title, channel, date and link.
  • Insert headings where the topic changes. If the video has chapters, use them as your headings.
  • Use a readable font at 11–12 pt with 1.15–1.5 line spacing.
  • Fix obvious caption mistakes, especially names and technical terms.
  • Keep timestamps in a lighter colour if you keep them, so the text stays readable.

Other formats you might need

Need subtitles rather than a document? Use Download → Subtitles (.srt) or Web captions (.vtt), which keep the exact timing for video players and editors. Details are in how to download YouTube subtitles as SRT.

Sharing transcripts responsibly

A transcript of your own video, or one kept for personal study, is yours to use. If you plan to publish or sell a document made from someone else’s video, ask the creator first.

Frequently Asked Questions

Can I download a YouTube transcript directly as a PDF?

Our tool downloads TXT, SRT and VTT files. Open the TXT in Word or Google Docs, or paste the copied text, then save or export it as a PDF in one step.

How do I keep the timestamps in my Word document?

Leave Timestamps ticked before you copy or download. Each line or paragraph will start with a time like [4:32].

Why do accented letters look wrong when I open the TXT file?

The file is UTF-8. If an older program shows odd characters, open it in Word or Notepad and choose UTF-8 encoding.
